Description of the organization

Design Trust for Public Space is a non-profit organization dedicated to the future of public space in New York City. Our projects bring together city agencies, community groups and private sector experts to make a lasting impact – through design – on the way New Yorkers live, work and play. For 26 years, Design Trust has been a leader in the public space movement. Native New Yorker Andrea Woodner founded the Design Trust in 1995 to bring design expertise and systems thinking to the public realm, when public space was often seen as an afterthought. Design Trust’s work can be seen in all five boroughs and has inspired other cities.

Our current and upcoming projects include: Design Trust Tender: The restorative city, a call for projects dedicated to exploring how public space and the built environment can be used as a tool to advance health equity; Open edge, a resident-led process to design new public space in Lillian Wald Homes and serve as a model for NYCHA across town; Neighborhood municipalities, working with NYC Small Business Services, we will provide local organizations (such as BID) and small businesses with the tools to recover as key community anchors; Go out NYC, a project aimed at increasing access to arts and culture in the city’s public spaces, in partnership with SITU and the Mellon Foundation; and Outdoors in New York, a multi-phased, coalition-led effort to define the future of open dining and al fresco dining for New York City. Summary of position

The Administrative Director oversees the office operations and internal affairs of the Design Trust. The manager, working closely with the CEO, is responsible for operations, tax management, human resources and workflow to keep the organization running smoothly while maximizing quality and efficiency. The Manager will help bridge the gap between program teams, providing project, outreach and event support. The manager must be analytical, knowledgeable and organized with a proactive attitude and strong leadership skills. They must enjoy multitasking and working in a fast paced entrepreneurial environment. Sharing our passion for public space and our mission, the Manager, in coordination with around ten employees, provides essential administrative and financial support to Design Trust.

Reports to: Executive director

Responsibilities include:

Administration and operations – Oversee and manage internal systems and operations, in close collaboration with the CEO, to ensure that the organization fulfills its missions. This includes

  • Management of the Design Trust premises, 40 Worth Street office and the upcoming refurbishment of the space
  • Supervise technology and communication equipment and systems and our IT management contract
  • Manage all suppliers and subcontractors
  • Manage all technology consultants, human resources, time management, and liaise with PEO (health and benefits, payroll for staff of ten, in accordance with employee policies and procedures.)
  • Support the planning and recording of board and committee meetings
  • Provide administrative support to the General Manager as required.

Program support – Provide support to the program team on a number of important public space projects.

  • Manage the Fellow Forum initiative, by creating a structure and an organization around our network of importation of alumni
  • Manage the Fellows Forum Grant initiative
  • Support the seven active projects of the Design Trust portfolio with administrative support

Financial direction – Support internal financial procedures:

  • Record keeping, including internal controls
  • Risk management for compliance with best tax and governance practices
  • Manage the part-time accountant and part-time controller

Background, skills and qualifications required:

  • Bachelor’s degree and at least 2-3 years of experience in non-profit management
  • Strong organizational skills that reflect the ability to multitask and prioritize seamlessly with excellent attention to detail and meet deadlines
  • Demonstrated knowledge of office administration, management, technology, equipment and systems
  • Demonstrated ability to handle confidential information with discretion, adapt to various competing demands and demonstrate the highest level of responsiveness
  • Ability to work independently while being comfortable within a diverse and multidisciplinary team, including the board of directors, staff, supporters and the public
  • Thrives in a dynamic and fast-paced work environment; ability to manage multiple tasks and projects simultaneously with attention to detail
  • Strong intellectual curiosity and problem-solving skills
